INSTRUCTIONS FOR ADDING A NEW EVENT
When adding a new Event or editing an existing Event, it is important to enter as much information as you can for each field. This guide will instruct you how to create and edit an event, step-by-step. Keep in mind that each field contains a little circled question mark next to the title, if you get stuck, click on this question mark and a tooltip will pop up explaining what information belongs in the field.
EVENTS PAGE
In the box titled "Events" you will see a link that says "Create New Event" - Select this link
A new page will open, with a box entitled “Event Summary”
Fill out the fields: Remember that each field contains a little circled question mark next to the title, if you get stuck, click on this question mark and a tooltip will pop up explaining what information belongs in the field.
FIRST PAGE FIELDS - TITLE, DESCRIPTION, TYPE, GUESTS
* Name of Event - Enter the Name of your event.
* Description - Select the Rich Text editor if you'd like to be creative with HTML, images, colors, and fonts.
* Type of Event, Category, and Dress code - Select from the drop down lists which best fits with your event. (If you have suggestions for event types, categories, or dress codes that aren't in the drop down lists, please let us know and we can add them!)
* Related Link - Add a URL link to another site regarding this event if applicable.
* Visibility - Choose whether you'd like this event to be Private (only visible to invited guests) or Public.
* Guest list Checkboxes - Select whether or not you'd like to Hide the Guest list and whether or not you'd like a limited amount of guests.
* Event Status - Select "Draft" while you are creating your event, then go back and set to "Active" when you have finished editing.
After you have filled in all the fields, you will see a link named "Next" at the bottom right side of the page. Select this link to continue to the next page.
SECOND PAGE FIELDS - TIME AND DATE
* This page deals with the time of your event. Enter in the Start date and time, the End Date and Time, and any Comments regarding the time and date.
At the bottom right, Select the "Next" link to continue.
THIRD PAGE FIELDS - LOCATION
* This next page deals with Location. Enter in the Location name and the URL of the address of the link (for example, if it's held at a specific hotel, you can enter in the web address for their website). If you've added a link to the Location site, you can simply select the checkbox “Online” for the Full Address section, otherwise fill out the address fields. Optionally, you can also add the nearest transport link (like a bus or train station) and any directions or comments in the next two fields. The final field allows you to add a map link if you have one. You can obtain a map link from Google maps.
At the bottom right, Select the "Next" link to continue.
FOURTH PAGE FIELDS - COST AND RSVP
* If your event has fees or charges, enter them on this page in the fields Cost per person, Cost covers, and any Comments. If your event does not involve fees, such as a meeting or a volunteer event, leave these fields blank.
* Next, click on the RSVP Message Box to open up this section. There are default texts in each field, but you may change them to suit your event if you'd like.
At the bottom right, Select the "Next" link to continue.
COMPLETING YOUR EVENT CREATION
You will be brought back to the Events Page, and you will see your event in the Events box. If you are finished creating your event, click on the little pencil icon next to your event to edit, scroll to the bottom of the page that opens up, and use the drop-down list to select “Active” for your completed event. Then at the bottom right, select "Finish" to save your event, at which point an Administrator will receive notification informing them that an Event is awaiting their approval.
You will then receive an email informing you that they have approved (or declined) your Event, at which point you may go back to the Events box and click on the "people" icon on the right to manage your guests and send your invitations if they were not already sent on approval.
